Whether you’re planning multiple HVAC construction projects or are trying to get your bedroom’s mini-split air conditioner fixed, you’ll have to compare quotes from HVAC contractors before making your choice. Bids vs. Quotes vs. Estimates

The terms “bids”, “quotes” and “estimates” are often used interchangeably. While they have many things in common, they also have distinct differences. Quotes and estimates both include the estimated cost of the project, which means the actual project cost may differ due to factors like unforeseen repairs or a price increase (or decrease) from the manufacturer. In comparison, a bid will always indicate the final contract price. Another key difference is that a bid or quote will become the contract when signed, while an estimate is exactly that — an estimate of the project cost.

Elements of a Good HVAC Quote

Knowing what to look for from an HVAC installation or service quote can help you narrow down your list of prospective HVAC contractors. The following are the elements of a good HVAC quote.

The parts that will be used. For service calls, the quote should clearly state the parts that will be used to fix your HVAC system. Look for an HVAC company that uses reputable brands that are built to last, ideally with a warranty or guarantee.

The type of unit. If you’re replacing your HVAC system, the quote should clearly state the new HVAC system’s make and model. Some contractors may provide a list of units with corresponding prices so you can choose the one that works best with your budget and HVAC requirements.

Warranty coverage. The quote should clearly state the warranty coverage for the HVAC unit, parts and/or installation, as well as upgrade options and warranty exceptions.

Analysis of your future energy bills. A good HVAC company will include a projection of the new HVAC system’s impact on your energy bills. Ideally, a more energy-efficient model should project significant savings.
